What Is an AI Receptionist?

An AI receptionist is a voice system that answers your phone when your team cannot, holds a normal conversation, collects the caller's details, and creates a record in your CRM.

What the caller experiences

The phone is answered immediately with your business name. The caller explains what they need in their own words. The AI asks follow-up questions — name, address, phone number, and a description of the problem — and confirms what happens next.

It is a conversation, not a phone tree with numbered menus.

What it is configured with

Your services, service area, hours, licensing, general pricing approach, and the questions customers ask most. Anything outside that scope is handled by taking a message and escalating rather than guessing.

Escalation rules

You define what is urgent. A no-heat call in January or an active water leak can transfer to your on-call phone or trigger an immediate text and call, while routine inquiries wait for the morning.

Where it fits and where it does not

It fits overflow calls, after hours, weekends, and high-volume storm or heat-wave periods. It does not fit complex negotiation, sensitive customer recovery conversations, or anything requiring judgment about your business.

Used for intake, it means every caller is heard. That is the whole point.
